As **ADMINISTRATIVE ASSISTANT AND COORDINATOR** you will execute fleet coordination for the Affiliate. Maintain Customer/ Vendor Master Files in the ERP System. Support Finance Management in the coordination of facilities/operations related activities. Conduct administrative tasks for Finance Organization.



**HOW WILL YOU MAKE A DIFFERENCE?**



+ Coordinate fleet activities. Serve as liaison between Third Party Fleet Services Provider and Abbott. Keep

+ control log of spare (unassigned) vehicles. Monitor movements and coordination of spare vehicles. Administer

+ Total Gas Cards for fleet users (new cards/cancellations/duplicates). Coordinate the annual renewal of

+ Company vehicles registrations. Administer Fleet Services Card (new cards/ cancellations /duplicates).

+ Coordinate fleet vehicles acquisitions and renewals. Prepare administrative Check Requests (ACRs) to process

+ timely payment of fleet related invoices (Fleet Third Party Providers ,and Gas Cards) on a monthly basis.

+ In charge of the maintenance of the Customer and Vendor Master Files in the ERP System as required. These

+ responsibilities include the input of massive changes when needed by the business.

+ Pick up correspondence on a daily basis. Prepare list of customer checks received to be deposited.

+ General office work.

+ Coordinate certificate of liabilities for Company events

+ Prepare ACR to process payments as required. When applicable, route for the approval of out of Affiliate

+ approvers.

+ Initiate requisitions for Purchase Orders in the System as required

+ Obtain documentation for the renewal process of \"Ley de Preferencia\" before it expires

+ Create wire transfers through the Web Cash of BPPR as needed

+ Monitor postage meter machine. Initiate replenishment when required.



**CAN'T WAIT TO GET STARTED?**



To be successful in this role, you will require the following qualifications:



+ 5 years of experience in administrative functions.

+ Bachelor's Degree in Secretarial Science, Administrative Assistant, BBA or related fields.

+ Excellent writing and verbal communication skills in both English and Spanish.

+ Proficient with Word, Excel, Power Point, and Outlook.

+ Strong interpersonal and communication skills as well as building internal and external customer relationships.

+ Oriented to people and teamwork environment.

+ Strong initiative.

+ Ability to work under pressure and limited supervision.

+ Capable of handling multiple tasks. Ability to prioritize.

+ Highly organized.

+ Maintain discretion in dealing with matters of a confidential nature.
